OFFER LETTER: **PLEASE NOTE: You must complete this step using a desktop computer or laptop, NOT a smart phone. You are required to sign the offer letter within 48 hours of receipt.

Failure to do so will results in the offer being rescinded.

You will receive an e-mail from Trinity Health with a link to log into Workday. You must log into Workday by using your e-mail address as your “User Name” and the password that you created when you first applied online via Workday. (if you do not recall the password, you may reset it).

Once you log in and complete the e-signature (by typing your name and clicking submit) you will return to your Workday profile home screen. In the bottom left corner of the screen you will see 2 additional tasks under “Your Tasks”.

3. Career Site, Date of Birth, Social Security/Government ID

Once you completed e-signature on your offer letter, you will be returned to your Workday profile home screen. In the bottom left corner of the screen you will see 2 additional tasks under “Your Tasks”:

  1. Add Personal Information (DOB)
  2. Add Government ID (Social Security Number)

Please Note: Your offer letter is not complete until these 2 tasks are done and submitted.

4. Workday Email Welcome

This email will be sent to the email address you used when you applied for your position. The email will include your manager’s name, start date and employee number.

If you do not receive this email within 24 hours of your offer, please contact your Employment Coordinator at (860) 714-4160.

  • 4a. Workday Email User ID: This email will be sent to the email address you used when you applied for your position. The email will include your User Id to enable you to log into Workday to complete your pre-employment tasks.

    If you do not receive this email within 48 hours of your Welcome email, please contact your Employment Coordinator at (860) 714-4160.

  • 4b. Workday Email Password: This email will be sent to the email address you used when you applied for your position. The email will include your Password to enable you to log into Workday and complete your pre-employment tasks.

    • Once you receive the User Name and temporary Password, you will log into Workday. You will be prompted to reset your Password. **Going forward you will be using the assigned User Name and new Password to log into Workday.

    If you do not receive this email within 48 hours of your Welcome email, please contact your Employment Coordinator at (860) 714-4160.

This task is time sensitive. Logging into Workday using the User Name and Temporary Password must be completed within 24-48 hours of receipt.

5. Workday Email Hire Right

This email is sent to the email address you used when you applied for your position. The email will contain a link to Hire Right, the third party vendor who conducts our background check.

Your employment is contingent upon a satisfactory background check.

Please Note: The link to this form does expire!!! Please complete in a timely manner.

6. Workday Email Skill Survey

This email is sent to the email address you used when you applied for your position. The email will contain a link to Skill Survey, the third party vendor who conducts reference checks.

Be sure to notify anyone you list as a reference to expect an email from Skill Survey.

7. Workday Tasks

Once you reset your Workday login information, you will receive a series of items in “Your Tasks” field inside of Workday, which need to be completed within ten days following the offer of your position.

These tasks include, but are not limited to:

  3. Network Access Documents
  4. Disability Self-Identification
  5. Veteran Status Identification
  6. Emergency Contact Information

8. Parking

If you have a vehicle and need parking, please register your vehicle as soon as possible at: https://register.payce.io/?s=4.

Be prepared to enter:

  • Make & Model of your vehicle
  • License Plate Number

PLEASE NOTE: You will NOT receive a parking assignment if this form is not received in a timely manner.

9. Security Badge

Your picture for the security badge will be taken the day you arrive at HR, following your Occupational Health Appointment.

Security Badges will be provided to you at day one General Orientation during your check-in.


Occupational Health

DRUG SCREEN & PHYSICAL EXAM: You will need to schedule your Drug Screen (DS) and Physical Exam (PE), in the Hartford location, within the next 48 hours. Be sure you schedule your appointment, by clicking the Book Appointment Now link, no later than ten (10) days prior to your start date to allow time for results. DS & PE is conducted at Saint Francis Occupational Health, which is located on the 4th Floor of the Gengras Medical Office Building. You will park in the Collins Garage located on Collins Street. You will enter the hospital and take a left turn to enter the Gengras Medical Office Building.

Book Appointment Now

At your physical you will need to provide your immunization records. If you do not have them all, they may give you a lab slip to get a blood draw, which you can do after your Occupational Health appointment, then proceed to HR.

Once your appointment is scheduled, please make sure that you complete the following: Read, print, and complete the forms on the links above.

Please make every attempt to attend your appointment. Missing or rescheduling your appointment may delay your start date or effect your employment in general.

After completing your appointment, please go to Human Resources to provided required paperwork.

Required HR Forms

You must bring acceptable forms(s) of ID according to the list here: https://www.uscis.gov/i-9-central/acceptable-documents to our Human Resources Department PRIOR to your start date.

We encourage you to stop by our Human Resources Department the same day you are scheduled for your Occupational Health appointment. Office hours for HR are Monday – Friday, 7:30 a.m. – 4:30 p.m.

Day One General Orientation

You are required to attend Hospital Orientation, your offer letter will state the date you are to attend.

General Orientation begins at 7:30 a.m. until 4:00 p.m. and is held at the Innovation and Learning Building, CIPCI Collaborative Theatre (first floor) 260 Ashley Street, Hartford, CT, 06105.

Dress for all orientation sessions is professional.
You are required to attend our mandatory patient safety training Safety Starts with Me and Safety Absolute, which is included in your orientation schedule for day one. If you believe you have already received this training session elsewhere, and within the last 12 months, please bring a certificate of completion to orientation. Our training manager will assess whether or not you are exempt from retaking the training.

Clinical Orientation

Your Talent Acquisition Specialist (recruiter) will indicate if you role requires you to attend a Clinical Orientation. If you are being hired into an RN, CNA, Unit Secretary, ED Tech, Mental Health Worker or Student Nurse Intern position, you're required to continue with Patient Care Services Orientation following the Hospital Orientation for up to four (4) consecutive workdays, depending on your position.

Patient Care Services Orientation will begin on Tuesday, after your HR Orientation Day and is scheduled daily from 8:00 a.m. to 4:30 p.m. Please bring a copy of your Connecticut RN license (if applicable), or temporary letter and current CPR card.

Clinical Orientation is held in the Department Of Education 2nd floor of the Innovation and Learning Building
260 Ashley Street, Hartford, CT, 06105.

Healthstream

All new colleagues are required to complete assigned courses through the Learning Management System – HealthStream.

  • A separate email is provided with your User Id and Password.
  • Completion of assigned courses is 30 days following hire date.

Occupational Health

Parking

Upon arrival for day one General Orientation, you will be asked to complete a form (please be sure you have the make, model and license plate number of your car). Parking will be assigned upon completion of the form.

Clinical Orientation

Your Talent Acquisition Specialist (recruiter) will indicate if you role requires you to attend a Clinical Orientation. As part of your Orientation you will be required to attend Clinical Classroom Education beginning after your General Hospital Orientation.

  • Proof of your BLS-HCP; a picture on your phone is acceptable
